Studio Smelt is the data controller responsible for the personal data processed through this website, within the meaning of the EU General Data Protection Regulation (GDPR, Regulation 2016/679).

2. Scope

This policy explains what personal data is collected when you visit this website, why it is collected, how long it is kept, and what rights you have. It applies only to this website. Separate arrangements apply to data processed in the course of client projects; those are governed by the applicable quote and the general terms and conditions.

3. What data we collect and why

3.1 Contact form

When you send a message through the contact form, the following data is processed:

  • Your name and email address (required)
  • Your company and role, if you provide them
  • The project type, timeline, and budget range you select, if you provide them
  • How you heard about us, if you provide it
  • Any content you include in your message

How it reaches us: the form is delivered by Web3Forms, a form-to-email service that receives your submission and forwards it to our mailbox. Web3Forms acts as a processor on our behalf; it does not use your message for its own purposes. More information is available at https://web3forms.com.

Purpose: to read and respond to your inquiry, and where relevant to prepare a quote or enter into an agreement.

Legal basis: your request to take steps prior to entering into a contract (Article 6(1)(b) GDPR), or our legitimate interest in responding to inquiries (Article 6(1)(f) GDPR) where your message does not concern a potential engagement.

Retention: messages are kept for as long as needed to handle your inquiry, and afterwards for a reasonable archival period to document the exchange. Messages that do not lead to an engagement are deleted within twelve months, unless a legal obligation requires longer retention.

3.2 Website analytics (Cloudflare Web Analytics)

This website uses Cloudflare Web Analytics, a privacy-respecting analytics service provided by Cloudflare, Inc. (“Cloudflare”), to understand aggregate use of the site and improve it.

Cloudflare Web Analytics does not use cookies, does not track individual visitors across sites or sessions, and does not retain personal data such as your IP address. No consent banner is required because no personal data is processed for this purpose and no information is stored on your device.

In aggregate and in non-identifying form, Cloudflare may process:

  • The pages you visit and how you arrived at the site (referring URL)
  • General device and browser information (type, screen size)
  • The country of origin, briefly derived from your IP address and then discarded

This data is aggregated and never linked to a specific individual.

Purpose: statistical analysis of website usage in aggregate.

Legal basis: our legitimate interest in understanding how the website is used in a way that does not impact your privacy (Article 6(1)(f) GDPR). Because no information is stored on or read from your device, no consent is required under Article 129 of the Belgian Electronic Communications Act.

Retention: Cloudflare aggregates and retains this data according to its own retention policies. No personal data is stored.

International transfers: Cloudflare is headquartered in the United States and may process data on servers located outside the European Economic Area. Such transfers are covered by Standard Contractual Clauses approved by the European Commission.

3.3 Server logs

The hosting provider may keep standard technical logs (including IP address, request time, requested URL, and user agent) for a short period. These logs are used solely for security, troubleshooting, and to ensure the stability of the website, on the basis of our legitimate interest (Article 6(1)(f) GDPR).

4. Cookies

This website does not use cookies. The analytics service we use, Cloudflare Web Analytics, is cookieless by design, and the website itself does not rely on cookies for its functionality. No tracking technologies are placed on or read from your device.

You can, of course, configure your browser at any time to block or delete cookies if you wish.

5. Sharing your data

Your personal data is not sold, rented, or traded. It may be shared with:

  • Cloudflare, as the provider of website hosting and analytics, under the conditions described above
  • Web3Forms, solely to deliver messages sent through the contact form to our mailbox
  • Public authorities, where required by law or pursuant to a valid legal request

No other recipients receive your data.

6. Your rights

Under the GDPR, you have the right to:

  • access the personal data we hold about you
  • request correction of inaccurate or incomplete data
  • request erasure of your data
  • object to processing, or request its restriction
  • where processing is based on consent, withdraw that consent at any time without affecting the lawfulness of processing carried out beforehand

Reasonable technical and organizational measures are in place to protect personal data against loss, misuse, and unauthorized access. No transmission over the internet can be guaranteed fully secure, and you acknowledge this residual risk when you send data through this website.

This policy may be updated from time to time to reflect changes in how the website operates or in applicable law. The “Last updated” date at the top of this page indicates when the most recent version took effect. Material changes will be clearly signaled on the website.
